How To Estimate Any LED Screen Rental Price

Want to estimate your LED screen rental price before hopping on the phone for a quote? You’re in luck. We are spilling the beans on the most up-to-date and accurate way to calculate a cost range for any size or type of video wall rental.

LED Screen Rental Price Formula

The LED screen or jumbotron rental price range can be estimated with the simple rule of $50-$70 per square foot for the day 1 rental rate, and 20% of that rate for following days. Here’s how to calculate it:

Formula for Day 1 Rental Rate:

Screen width in feet * screen height in feet * $50 – $70 = day 1 rate range

Formula for Consecutive Days Rate:

.20 * day 1 rate range

Example:

Estimate the 3 day rental rate range for a 12′ x 7′ LED video wall screen

Day 1: 12 * 7 * 50 and 12 * 7 * 70 = $4,200-$5,880

A 1 day rental rate for a 12’x7′ LED screen can be expected to range between $4,200 and $5,880

Days 2 & 3: 4,200 * .20 and 5,880 * .20 = $840 – $1,176

Total: 4,200 + 840 * 2 and 5,880 +  1176 * 2 = $5,880 – $8,232

A 3 day rental rate for a 12′ x 7′ LED screen can be expected to range between $5,880 and $8,232

Factors Affecting Rental Cost

Here are the factors that determine whether you can expect to come in at the low end or high end of the rental rate range:

Mobile vs. Modular

Mobile LED screen trailers or trucks require less labor than modular, thus are significantly less expensive to rent. You can expect your mobile LED screen rental rate to be close to $50 per square foot and modular video wall cost to be closer to $70 per square foot.

Pixel Pitch

Pixel pitch a measurement of pixel density, plays a very significant role in the rental rate. The lower the number, the higher the resolution, and the higher the price. Pitches between 1 and 5 are considered very “tight” and you can expect to pay a premium on these. Pitches 5-10 are also considered very good for medium viewing distances. Pitches of 10+ should be less expensive to rent.

Seasonality

The law of supply and demand has no exception in the video wall industry. Simply put, peak season will yield higher rental rates. Slower times with more product availability will lend you a bargain price.

Location

Places with higher costs of living will also have higher rental rates. The location of the company relative to your event will also potentially affect your price due to travel requirements.

Rental rates vary by company. The more experienced your technician and the higher quality products they offer, the higher their rate will typically be. You get what you pay for.

Production Scope

An LED display rental rate will typically include travel, setup, tear-down, and basic operation. Basic operation is plug-and-play video display. Advanced production such as multiple video sources or camera work will increase your rental rate.
